Who we are and what we do
The Leisure and Cultural Services Team of Elmbridge Borough Council, manage the Free Access for County Sportspeople (FACS) scheme which supports local athletes at County standard or above with free access to the borough's leisure facilities. We receive and process your applications which are administered by the Sports Development Team
What we need
We will collect information about you and the standard at which you compete at in your sport, along with supporting evidence to confirm the standard at which you compete at. We also require a passport size photo as proof of ID, in order to process the membership card.
Why we need it
The information is required in order to process your application and will be kept on our system for further correspondence and for renewal reminders. We will use the address given to send you a confirmation letter and membership card. We do not share any personal contact details with any other than your name and sport, which is on the membership card and should be given to Places for People.
What we do with your information and with whom do we share it?
The information that is provided will be held by the council and will only be accessed by the Sports Development Team who administer the scheme. We do not share any personal contact details other than name and sport. We keep your information on our password protected FACS database for monitoring purposes. We may separately ask you for your permission to provide you with information about other council services such as Grant Aid and Sports Awards. But you do not have to give your permission to receive these details, and it is not a condition of your application. If you do give your permission, we will let you know how we will manage this going forward.
If you consent, we will email you to alert you to the nomination window opening in future years.
Our legal basis for processing your data
For the FACS scheme, we process your data where you have given consent to the processing off your personal data for the purpose of processing your application.
How long we keep it
Your name and club details will be kept on our database for 13 months after the start date shown on the membership card to allow for any renewals to be processed.
What are your rights?
You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, please contact the Data Protection Officer at dataprotection@elmbridge.gov.uk.
